Managing Form Entries

With NEX-Forms, managing form entries is streamlined for efficiency and ease. Viewing entries allows you to access each submission’s details, providing insights into responses at a glance. The filtering options help you quickly locate specific entries based on criteria making it easier to focus on the most relevant submissions. Altogether, these tools give you full control over your form entries, ensuring your data is accessible and manageable.

How to View a Form Entry
This article will guide you on viewing your submitted form data, the actual admin email sent as well as the actual user email sent.
Viewing Entry Data (submitted form data)
Follow the steps below to view the data submitted from the form.

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on any Entry from the Entries List.

  3. View the Entry Details in the Entry Viewing Panel.

  4. NOTE:
    The left hand column shows the form field name.
    The right hand column shows the entered/selected data submitted by the user.
Viewing the Sent Admin Email
This is the actual email sent upon the form submission as per Admin Email Notification Setup for the form.

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on any Entry from the Entries List.

  3. CLICK on "View Admin Email".

  4. View the Sent Admin Email in the Entry Viewing Panel.

Viewing the Sent User Email
This is the actual user sent upon the form submission as per Admin Email Notification Setup for the form.

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on any Entry from the Entries List.

  3. CLICK on "View User Email".

  4. View the Sent User Email in the Entry Viewing Panel.

Filtering Form Entries
This article will guide you on using filters to locate specific entries.
Filter by Form
Filtering the entries by form allows you to view entries made from a specific form only.

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on a Form in the Inbox List.

    NOTE: Only Forms that contains form entries will be in the Inbox List.

  3. Only entries made from the selected form will now be listed.

Filter by Default Filters
Filtering entries by default filters allows you to view entries that are, for example, unread, starred, or have file attachments associated with them.

NOTE: All default filters can be activated or deactivated at the same instance, or any combination of two filters can be active at the same time.
  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on a Default Filter. In this example we will activate the "Starred" Filter first.

  3. Only STARRED will be listed.

  4. We can now add another Filter. In this example we will activate the "Unread" filter as well.

  5. Now, only UNREAD and STARRED entries will be listed.

  6. NOTE:
    To remove a filter simply click on it again, in other words, click on an active filter to make it inactive and visa versa.
Filter by Searching
Filtering entries by searching allows you to locate entries containing a specified search term. The search examines both the entry ID and the submitted data, meaning you can search for an entry by its ID or by the content within the submitted information.

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on the search Icon.

  3. Type in a search term. In this example we will search the entries for the term "Website Revamp".
  4. Only entries containing the search term will now be listed.

  5. TIP:
    Utilize all filters — form filters, default filters, and search — to narrow down your search efforts.
How to Edit a Form Entry
  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on any Entry from the Entries List.

  3. Click on the "Edit" button in the Entry Viewing Panel.

  4. Edit the submitted form data.

  5. CLICK "Save" or Click on the X to cancel editing.

Deleting Form Entries
This article will guide you on deleting form entries.
How to Delete a Form Entry
OPTION: 1

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on any Entry from the Entries List.

  3. CLICK on the "Delete" Button.

OPTION: 2

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on any Entry from the Entries List.
  3. HIT the DELETE Button on your Keyboard.


OPTION: 3

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. RIGHT CLICK on any Entry from the Entries List which will bring up a Context Menu.

  3. Click the Delete options from the menu.

How to Batch Delete Form Entries
This article will guide you on deleting multiple form entries simultaniously using various options.
OPTION: 1 - Selecting mutliple individual entries.

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. While HOLDING CTRL on your keyboard CLICK on all the entries you wish to delete.
  3. After the selection is made:
    - CLICK on the delete button or,
    - RIGHT CLICK on any of the selected entries and select delete form the context menu or,
    - Hit the DELETE button on your KEYBOARD


OPTION: 2 - Range Deletion

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on any Entry from the Entries List.
  3. While HOLDING SHIFT on your Keyboard CLICK on any earlier or later Entry from the Entries List.

    This action will select all entries in bewteen the 2 selected entries as well.
  4. After the selection is made:
    - CLICK on the delete button or,
    - RIGHT CLICK on any of the selected entries and select delete form the context menu or,
    - Hit the DELETE button on your KEYBOARD


OPTION: 3 - Select All

  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. Select how many entries to display and in turn to be deleted.
  3. HOVER your mouse pointer over the Entries list viewing panel.
  4. Hit CTRL+A on your keyboard.
    This will select all entries.
  5. After the selection is made:
    - RIGHT CLICK on any of the selected entries and select delete form the context menu or,
    - Hit the DELETE button on your KEYBOARD


NOTE:
To deselect an entry HOLD CTRL on your keyboard and CLICK on an already selected entry.
Trashed Entries
All deleted entries will end up in the trash folder before being permantly deleted. Form the trash folder you can either permantly delete entries or restore entries.
How to restore a Trashed Entry
  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on the Trash Folder.

  3. RIGHT CLICK on any trashed entry from the Entries List which will bring up a Context Menu.
  4. Click on the "Restore" menu item.

How to permanently delete an Entry
  1. Open the NEX-Forms - Form Entries Dashboard Page.
  2. CLICK on the Trash Folder.

  3. Use any of the deletion methods above to delete entries from the trash folder. By deleting an entry from the trash the entry will be permanatly deleted.
